Conference and Webinar Registration Payment, Cancellation, Substitution, and Refund Policy

The California Consortium for Independent Study (CCIS) is committed to providing a high-quality conference and webinar experience for all attendees. Event registration fees are used to secure meeting facilities, food and beverage services, materials, technology, speakers, and other contractual obligations well in advance of the event. Accordingly, the following Payment, Cancellation, Substitution, and Refund Policy applies to all event registrations.

Payment Policy

To ensure the timely processing of registrations and to streamline conference and webinar administration, payment in full is required at the time of registration.

CCIS accepts electronic payment by major credit card through the official event registration system.

CCIS does not accept Purchase Orders (POs), invoices, checks, cash, or deferred billing arrangements.

Attendees are responsible for obtaining any necessary internal approvals from their organization prior to completing registration. Registrants seeking reimbursements from their employer should follow their organization’s established reimbursement procedures.

By submitting an event registration, the registrant acknowledges and agrees to the payment requirements set forth in this policy.

Cancellation and Refund Requests

All requests to cancel an event registration must be submitted via the provided Google Form.

The effective date of the cancellation shall be the date the written request is received. Allow 2 weeks for processing refunds.

Please refer to the Conference Refund Schedule and the Webinar Refund Schedule for deadline details.

Approved refunds will be issued only to the original credit card used for payment and in accordance with the published conference and webinar cancellation and refund policy. CCIS is unable to issue refunds by check, cash, electronic transfer, or any other alternative payment method.

Refund eligibility is determined by the date on which the written cancellation request is received by CCIS. Please note: Recorded webinars are not eligible for a refund. Please refer to the Webinar Refund Schedule for details.

Failure to attend the conference and/or webinar without submitting the Cancellation and Refund Request Form according to the refund schedule does not constitute cancellation and does not entitle the registrant to a refund.

Conference Refund Schedule

Refunds will be issued according to the following schedule *(2026-2027)

Conference

  • On or before the Early Bird Registration Deadline (9/30/26): Full registration fee refunded minus a $50 administrative processing fee.
  • October 1st to December 31st: 75% registration fee refunded minus a $50 administrative processing fee.
  • January 1st to January 11th: 50% registration fee refunded minus a $50 administrative processing fee.
  • After January 4th: No refunds can be issued

Webinar Refund Schedule

  • Live Webinar (Live Attendance Only)
    Registrants may cancel and receive a full refund, minus a $50 administrative processing fee, if the cancellation request is received up to 24 hours prior to the scheduled webinar start time. Refund requests received fewer than 24 hours before the webinar, or after the webinar has begun, are not eligible for a refund.
  • Live Webinar with Recording
    Registration fees for webinars that include both a live presentation and access to the webinar recording are non-refundable. Registrants will receive access to the webinar recording as advertised, regardless of whether they attend the live session.
  • Recorded Webinar
    Registration fees for recorded webinars are non-refundable. Once purchased, registrants will receive access to the recorded content as described.
  • Webinar Cancellation by CCIS
    If CCIS cancels a webinar or is unable to provide the webinar or recording as advertised, registrants will receive a full refund or, when appropriate, the option to transfer their registration to a future webinar.

*Applicable dates will be updated annually based on the published events schedule.

Registration Substitutions

Registrant substitutions are permitted at no additional charge through January 18th, provided that written notification is received by the CCIS Operations Manager prior to the deadline.

The substitution request must include:

  • The original attendee’s full name, title, organization, and email address
  • The new attendee’s full name, title, organization, email address
  • Any other information reasonably required for conference registration.

Substitutions requested after the published deadline may be accommodated at the sole discretion of CCIS and may not be reflected in conference materials, name badges, meal preferences, or attendee lists.

Travel, Lodging, and Other Expenses

CCIS is not responsible for any costs incurred by attendees related to travel, lodging, transportation, meals outside the conference, or other incidental expenses.

Attendees are solely responsible for understanding the cancellation policies of airlines, hotels, rental car agencies, and other travel providers. CCIS strongly encourages attendees to purchase refundable travel arrangements or travel insurance, when appropriate.

Conference Modification or Cancellation

CCIS reserves the right to modify the conference program, speakers, schedule, venue, or format as circumstances require.

If CCIS cancels the conference in its entirety, registrants will be entitled to a refund of the conference registration fee paid, unless an alternative remedy is announced by CCIS.

CCIS shall not be liable for any indirect, consequential, incidental, or special damages, including but not limited to airfare, hotel accommodations, ground transportation, lost wages, or other travel-related expenses resulting from the cancellation, postponement, modification, or interruption of the conference.

Refunds will not be issued for technical issues caused by the registrant’s internet connection, device, software, or inability to access the webinar due to circumstances outside CCIS’s control.

Force Majeure

CCIS shall not be responsible for delays, modifications, or cancellation of the conference due to circumstances beyond its reasonable control, including but not limited to acts of God, natural disasters, public health emergencies, government actions, labor disputes, civil disturbances, terrorism, war, utility interruptions, or other unforeseen events.

In such circumstances, CCIS reserves the right to determine an appropriate remedy, which may include rescheduling the conference, providing virtual programming, issuing full or partial refunds, or offering registration credits for a future conference, as determined by the CCIS Board or its designees.

Policy Exceptions

Any request for an exception to this policy due to extraordinary circumstances shall be submitted in writing and will be reviewed on a case-by-case basis. Approval of any exception is at the sole discretion of the CCIS Board or its designees. Granting an exception in one instance shall not establish a precedent or obligation to grant future exceptions.

Acceptance of Policy

Submission of a conference registration constitutes acknowledgment and acceptance of this Payment, Cancellation, Substitution, and Refund Policy.
